An Office Ally screen during a consulting session

Office Ally Consulting

Most billing problems leave clues. I start with your question, then I find the pattern underneath it.

Independent consultant. Marie is not an employee or affiliate of Office Ally, Inc. She has been an Office Ally user since 1999.

How This Works

Billing problems are rarely where people think they are. A denial that looks like a coding issue is often a setup issue three screens away. So I start with your question, then I go find why it happened.

I meet you where you are.

You tell me what made you book the call. A claim that keeps bouncing, a payment that will not post, a report you cannot find, or a how do I question you have been working around for months. Sometimes the answer is right there on the screen. Sometimes it takes a deeper dive to find it. Either way we start with what you actually came in with.

You share your screen and you stay at the keyboard. You drive your own software while I show you the fix, so you can do it again next week without me. If it is a task that belongs to one specific person at your clinic, bring them to the call and I will train them on it.

Then we find the why.

One problem is a problem. The same problem every week is a setting. You keep driving while I point you through settings, claim flow, payment posting, patient responsibility, denials, and reports, and I show you the pattern underneath what you brought me. That is usually where the real fix lives, and it is what keeps it from coming back.

And we steady the whole system.

A pass through the whole account, not just the part you called about. Account setup, CPT and diagnosis code lists, claim templates, preferences, workflows, and staff training. I am looking for anything that could stop a claim from going out clean, anything posting to the wrong place, and anything set up in a way that turns into an accounting error three months from now.

A practice that is running well has a rhythm to it. Claims go out on a beat, payments land where they belong, and the same error stops coming back.

We work straight through the hour and get as far as we get. You leave with a recording and a written list of what I found in priority order, so nothing is lost if we run out of time.

Run the Audit Yourself First

The last pass I make is through the whole account. If you would like to see what that looks like before you book anything, I have written the same pass as a checklist you can run on your own. Fifty checks across ten groups, about thirty minutes, free and no email required.

You are not looking for a perfect score. You are looking for the pattern. When four of your no answers all sit in the same group, that group is where your money is going.

Free Forms and Resources

Sometimes you do not need a consult. You need the form. A fillable superbill and a fillable CMS 1500 claim form, free, no email required.

Before Your Call

  1. Install Zoom on a laptop or desktop at zoom.us
  2. Practice sharing your screen. Find the green Share button in Zoom before we start.
  3. Gather claim examples. Medicare rejections, denial messages, or error screens, so we can go straight to the problem.
  4. Bring the person who owns the task. If a specific person at your clinic handles it, have them on the call so they learn it firsthand.

Medical Receptionist and Biller Course

A billing course that teaches judgment, not software.

Every other billing course teaches you where the buttons are in one software system. Buttons move and vendors change. What does not change is why the payer denied the claim, and that is judgment, not clicks. So this course teaches the judgment, and points you at your own vendor free training for the software layer.

Module two is the one nobody else covers. Most denials are not created in billing. They are created at the front desk, at check in, weeks before anyone in billing ever sees the claim.

Seven modules. How practice management software actually works, the front desk is the billing department, eligibility and benefits, building a clean claim, rejections and denials and appeals, payments and posting and accounts receivable, and compliance and getting hired.

Video lessons, worksheets, worked scenarios using fictitious patients, weekly live Q and A with me on Zoom, a private support group on WhatsApp, and a certificate of completion.

Opening October 2026. Join the list and you will hear from me first, with the start date and founding pricing before it goes public. Nothing to sign and nothing to pay today.
