Course Outline
Module 1: Introduction to Office
Objective: Familiarize participants with the Office platform and its primary functions. Set up an account.
Topics: Dashboard navigation, user roles, and permissions.
Activities: Video walk through, navigation worksheet.
Module 2: Creating a New Patient, Scheduling, and Registration
Objective: Learn how to create patient profiles, schedule appointments, and gather essential registration details.
Topics: Adding patient demographics.Scheduling and rescheduling appointments.
Insurance card "Easter eggs" and verification tools.
Activities: Mock patient profile creation, scheduling practice, analyzing sample insurance cards.
Module 3: Checking In a Client, Recording Copays, and Creating Visits
Objective: Manage patient check-ins, record co payments, and create visit records.
Topics: Using the scheduler to check in patients. Recording co payments (Visit Tab, Payments Tab, Stripe integration). CPT and ICD-10 code requirements for payment posting. Creating and linking visit records to appointments. Activities: Check-in exercises, payment recording, and visit creation practice.
Module 4: Posting Payments from Patients and Insurance
Objective: Learn how to post and reconcile payments received from patients and insurance companies. Topics: Patient payments: Posting via Visit Tab or Payments Tab.
Insurance payments: Allocating payments using EOBs, recording adjustments, and write-offs.
Activities:Post sample patient payments for outstanding balances.
Use mock EOBs to post and reconcile insurance payments.
Module 5: Claims Management
Objective: Understand the claims submission and management process in Office.
Topics: Creating and submitting claims.Reviewing and correcting claim errors.
Tracking claim statuses and resolving rejections.
Activities: Claim creation exercises, and rejection troubleshooting.
Module 6: Reporting & Analytics
Objective: Generate and analyze reports for financial and operational insights.
Topics: Monthly/weekly billing reports. Identifying trends in claim denials.
Reconciliation and balancing accounts.
Activities: Mock report generation and analysis of sample data.
Module 7: Final Project & Certification
Objective: Assess participants’ skills through real-world scenarios and provide certification of completion.
Final Project: Simulate a complete workflow: patient registration, scheduling, claims submission, and payment posting.
Certification: Awarded upon successful completion of all modules and the final project.
