Welcome to MarieMatteson.com. These Terms of Service ("Terms") govern your use of this website and your purchase of consulting, training, courses, sessions, and products from Marie T. Matteson, MS ("we," "us," "our"). By using this site, downloading a resource, or purchasing anything here, you agree to these Terms. If you do not agree, please do not use the site.

1. What We Provide

MarieMatteson.com offers Office Ally and medical billing consulting and training, the Medical Receptionist and Biller Course, One Minute Stress Release and Responder Resilience material, quantum biofeedback and SCENAR sessions, books and workbooks, free downloadable forms, and a free membership portal.

2. Not Professional Advice

Everything on this site is educational. Specifically:

• Not billing, coding, legal, or tax advice. Guidance on claims, denials, modifiers, superbills, and remittances is educational. You remain responsible for your own coding decisions, your payer contracts, your practice policies, and current coding guidelines. Payer behaviour shown in examples is an illustration, never a payer rule.
• Not medical or psychological advice. Stress release techniques, biofeedback, and SCENAR sessions are for education, stress regulation, and personal exploration. We do not diagnose conditions, prescribe treatment, or guarantee outcomes. Nothing here replaces care from a licensed physician, therapist, or other qualified provider.
• No guaranteed results. No outcome is promised on reimbursement, claim acceptance, employment, income, or health.

You remain fully responsible for your decisions and for seeking qualified professional care. If something here raises a health concern, your next step is always a licensed provider.

3. Free Forms and Resources

The fillable superbill, the CMS 1500 form, the sample remittance advice, and any other free download are provided as blank templates and teaching material for your convenience. They are not customised to your practice, your payers, or your state.

The sample remittance advice is invented in full. Every payer, person, identifier, date, and dollar amount in it was built from scratch for teaching. It is not a real document and does not reflect any real patient, practice, or payer.

Submitting a superbill is never a guarantee of payment. Reimbursement depends entirely on the client's own plan, deductible, and coverage.

4. Booking, Payment, and Scheduling

Sessions and consulting hours are booked through our online calendars and paid in advance. Prices are shown at booking. You agree to provide accurate contact information and to be available at your scheduled time. If you are late, the session still ends at its scheduled time.

5. Office Ally and Third Party Software

Marie Matteson does not work for Office Ally and is not affiliated with, sponsored by, or endorsed by Office Ally. Office Ally and Practice Mate are the trademarks of their respective owners. Training and consulting here are independent and based on Marie's own experience as a user since 1999.

We do not control third party software. Features, screens, and behaviour may change without notice, and we are not responsible for changes made by any vendor.

6. All Sales Final, No Refunds, No Chargebacks

Rescheduling

A booked session may be rescheduled one time with at least 24 hours notice. This rescheduling policy is also displayed on each calendar before booking. Missed appointments without notice are not rescheduled or refunded.

Chargebacks

By purchasing, you agree to contact us first with any billing question or concern and give us a reasonable opportunity to resolve it before initiating a dispute with your bank or card issuer. You agree not to initiate a chargeback for services that were delivered, for course material that was accessed, or for missed appointments. Chargebacks filed in violation of this section are considered a breach of these Terms, and we reserve the right to dispute them with full documentation, including booking records, access logs, communications, and delivery confirmations, and to recover associated fees where the law allows.

If something went wrong on our side, tell us. We are human, we care, and we will make it right.

7. Courses and Membership

Course access is granted to one person. Login credentials may not be shared, sold, or transferred. Course material may not be downloaded and redistributed, taught from, or used to build a competing program.

Membership is free to join and you may leave at any time. We may change what is included in membership as material is added or retired.

Multi session packages must be used within 12 months of purchase unless otherwise stated. Promotional pricing applies only during the stated promotional period and cannot be applied retroactively.

8. Your Own Records and Privacy

During consulting we may look at your systems together. Do not share patient identifiable information in any recording, screenshot, email, or group setting. You are responsible for your own compliance obligations, including HIPAA, and for keeping protected health information out of shared material. If a session requires access to systems containing protected health information, a separate agreement applies.

9. Intellectual Property

All content on this site and in our programs is the intellectual property of Marie T. Matteson. This includes One Minute Stress Release, OMSR, OMSR Reset, Responder Reset, Responder Resilience, the Medical Receptionist and Biller Course, course materials, worksheets, frameworks, written content, and video.

It may not be copied, distributed, resold, taught from, or used to train artificial intelligence systems without written permission. Session recordings are for your personal use only.

10. Affiliate Disclosure

Some links on this site are affiliate links. If you purchase through an affiliate link or use a promo code we share, we may receive a commission at no extra cost to you. We only recommend products Marie personally uses and believes in.

11. Acceptable Use

You agree not to misuse this site, attempt to access systems you are not authorized to use, harass or abuse Marie or other clients or students, or use our content or services for unlawful purposes. We may decline or discontinue service to anyone who violates these Terms, with any unused, unbreached portion handled in good faith.

12. Limitation of Liability

To the fullest extent permitted by law, our total liability for any claim arising from these Terms or your use of our services is limited to the amount you paid for the service giving rise to the claim. We are not liable for indirect, incidental, or consequential damages, including denied claims, delayed reimbursement, or lost revenue. Some jurisdictions do not allow these limitations, so they may not fully apply to you.

13. Governing Law and Disputes

These Terms are governed by the laws of the State of Washington. Before any formal proceeding, both parties agree to attempt resolution directly in good faith. Any dispute that cannot be resolved informally will be handled in the courts of Whatcom County, Washington.

14. Changes to These Terms

We may update these Terms from time to time. The effective date above reflects the latest version. Continued use of the site after changes means you accept the updated Terms.
